This article explains how to share, view, and manage access to productions in Blackout. It covers prerequisites for sharing, step-by-step instructions for sharing a production via email, viewing production details, and revoking access.
To learn more about how to view a production that has been shared with you, see Viewing a Shared Production.
Sharing a Production
Before You Begin
- A production cannot be shared with your own email address.
- Workspaces are not visible to production recipients.
- Recipients must have a Blackout account to access the production. If they do not have an account, one will be created for them, and an invite to log in for the first time will be sent.
- Sharing a production grants access only to that single production.
- Sharing a production will not grant access to view the original documents. It will only allow the recipient to export the copies that have been produced.
- A user who has been sent a production can see a list of all their production shares.
- When viewing a production, users can export a ZIP file of the entire production.
How to Share a Production
After running a production, you can share the production with others via email. This is done using the steps below:
- After a production has been run, choose the production to share from the Productions page. Blackout will navigate to that production.
-
Click Share Production in the top right corner of the page.
-
Enter the email of the recipient you would like to share the production with. Only one email can be entered at a time.
- Click Share Production.
The production will be shared with the desired recipient.
After a Production Has Been Shared
- Email addresses that have been sent a production will be notified via email and will have the “Production Recipient” role in Blackout.
-
New users who receive a production will get an email allowing them to create a new account with Blackout for that organization. After creating an account, they will be redirected to the production that was shared with them. For more information on viewing a shared production, please visit this link.
Revoking Access to a Shared Production
Before You Begin
- Workspace Admins and higher roles can revoke production access at any time.
- If a user clicks on a production access email after their access has been revoked, an error message will be displayed.
- Access can be re-granted by an authorized administrator by sharing the production again using these steps.
How to Revoke Access
-
After navigating to the workspace where the production exists, click Productions from the navigation panel on the left.
-
Choose the production that you would like to view by clicking the name of the production.
-
In the Production Access menu, click the Revoke Access button next to the user who should no longer have access to the shared production.
